Your homegrown complaint database works. But who maintains it, and what happens when they leave? The hidden costs, when to move, and how to keep your history.

A quality lead at a long-established, multi-site manufacturer told me something I hear a lot. They built their own complaint database years ago. It works. Complaints and NCRs go in, and records come out. So why would anyone replace it? Fair question. Here is my honest answer: you might not need to replace what works. But you do need to know what it is quietly costing you.
Key takeaways
A homegrown complaint database is not free. Someone maintains it, and that someone can leave.
The real gaps usually show up in search, reminders and audits, not in data entry.
You can move to a commercial quality system without losing your history.
QMS2GO works with what you already have and connects to your ERP. It does not replace your ERP.
The tool works. Until the person behind it leaves.
Most homegrown quality tools were built by one smart person. An engineer, an IT lead, sometimes the quality manager. They know every table, every workaround, every report.
Ask yourself three questions:
Who fixes it when it breaks?
Who changes it when the auditor or a customer asks for something new?
What happens the week that person gives notice?
If the answer to all three is the same name, you do not own a system. You own a dependency.
The hidden costs nobody budgets for
The buyer in that call did not complain about entering records. They wanted a system they did not have to maintain themselves. That is the cost that hides. Here is where it usually shows up:
Maintenance time. Every fix and every new field is time someone is not spending on quality.
Weak search. The same buyer said searching a year of complaints for similar issues takes a lot of time. If finding a pattern is hard, repeat problems slip through.
No reminders before things are late. Actions sit open until someone remembers to chase them.
Islands of data. Complaints in one tool. Calibration, suppliers and customers in others. Nobody sees the whole picture.
Audit stress. When the auditor asks how a complaint led to a corrective action, you rebuild the story by hand.
When is it time to move?
You do not move because a tool is old. You move when it starts to hold you back. Signs I look for:
One person is the only one who can run reports.
Trend questions, like "every complaint on this product last year," take hours instead of minutes.
Complaints and NCRs do not link cleanly to corrective actions.
You are adding sites, people or customers, and the tool is not keeping up.
Audit prep means exporting, copying and cleaning up spreadsheets.
If two or more of those sound familiar, it is worth a look.
How to move without losing your history
This is the fear that keeps people on old tools. Years of records. Nobody wants to lose them. Here is the simple path:
Export what you have. Complaints, NCRs and actions, with dates and owners.
Map the fields. Decide what each old field becomes in the new system.
Test with a few real records first. Not a vendor demo. Your records.
Run both side by side for a short time. Then switch when the team trusts it.
Keep the ERP where it is. Your ERP runs the jobs. Your QMS proves quality. They should connect, not compete.
Work with what you have
I spent years as an auditor before I built QMS2GO quality management software . I am not going to tell you to throw out everything you built. Your history matters, and so does your ERP. QMS2GO brings complaints, NCRs, corrective actions, suppliers and calibration into one place, with reminders before due dates and search that finds patterns. And it connects to the systems you already run.
One ask: send me 2-3 real complaints or NCRs
Pick 2-3 real complaints or NCRs from your database. Remove anything sensitive. Send them over, and I will show you exactly what they look like in QMS2GO: linked to corrective actions, searchable and audit ready.
